REGISTRATION & VALIDATION – Early Weeks

  1. Google registration request form submitted through website by residents.
  2. Registration request notification received via email by K&A.
  3. Username & password credentials created.  Assigned role = “Bidder”.
  4. Login credentials emailed to registrants.
  5. Registrants called to confirm receipt of credentials. (validation)
  6. Assigned role changed to “Bidder St. James” or “Bidder At Large”.

REGISTRATION & VALIDATION – Final Week & During Live Event

  1. Google registration request form submitted through website by residents.
  2. Registration request notification received via email by K&A.
  3. Registration request forwarded to Coordinator(s).
  4. Text alert sent to Coordinator(s).
  5. Username & password credentials created.   Dashboard > Users > Add New
  6. Username, Email, First Name, Last Name, Show Password (e.g. bmaloof)
  7. “Confirm use of weak password” – checked
  8. “Send the new user an email about their account” – UNCHECKED
  9. User Roles – Bidder
  10. Registrants called to confirm receipt of credentials. (validation)
  11. Assigned role changed to “Bidder St. James” or “Bidder At Large”.

WINNER NOTIFICATION – Sat/Sun

  1. Integrity of all bids for all items reviewed by K&A.
  2. Items sorted by “Winners”.
  3. Winner lists and contact information forwarded to Coordinator(s).
  4. Winners called and informed:
    • Winnings: item name, item #, bid total
    • Payment Options: (cash or credit card, exact change, sorry no checks)
    • Location: 1101 N. Broadway; Parish Hall Door (COVID, please remain outside)
    • Pick up Times: Tue – Thu, 10am – 2 pm; Mon – Fri, 5 pm – 7 pm
    • Call Ahead 865-523-5687 to make an appointment for pickup:.
    • Ask for Marilyn or leave a message for her.
    • Bring box(s) for easy transport.

PICKUPS – Following Week – Mon – Fri

  1. Manifest Sheets will be delivered to St. James Sunday morning.
  2. Manifest sheets will include winner name, items won, $ amount, SJ affiliation.
  3. Inventory will remain organized in numerical order.
  4. Smaller Lots will be assembled just prior to scheduled appointments for pickup.
  5. Larger lots may be assembled and “packed” earlier.
  6. Two SJ staff or volunteers will respond to ALL pickup appointments.
  7. Payments will occur at the Parish Hall exterior door.  Winners will remain outside.
  8. Winners will sign Manifest Sheets on a clipboard to confirm pickup.
  9. Won Items will be delivered to the door.
